Taks 1 - General - Business letter - Cancelling an order

I will be very thankful if you do me a favor and assess my writing.

You are a gift shop keeper.
Task: Write a letter to your supplier, to let him know that you won’t need the merchandise you have ordered. Explain your situation and suggest solution.



Dear Sir/Madam
I am writing to inform you that my yesterday placed order is not necessary anymore and I would like to cancel it.

As a matter of fact, there was a problem by our accountant about the inventory and remaining balloons and painting books. Although there was plenty of them available in the store, wrong reports made by him convinced me to order two dozen of each ones which will be unwanted in this situation.

I apologize for the inconvenience made and instead, suggest you to provide us with more fancy pens and papers. Indeed, the wrong calculations was regarded to these items and as we are very near to final exams, we need much of those. Please do not worry about the payments because we will settle this carefully and if, based on our contract, this cancelled order will cost me a penalty, I will accept it with no doubts.

As a matter of fact, there was a problem by our accountant about the inventory and remaining balloons and painting books.(<--Reword to: "Unfortunately, our accountant made an error with the inventory.") Although there was plenty of them available in the store, wrong reports made by him convinced me to order two dozen of each ones which will be unwanted in this situation.(<--Reword to: "Although we had plenty of stock, the accountant ordered more without confirming the numbers.")

I apologize for the inconvenience made and instead, suggest you to provide us with more fancy pens and papers.(<--Reword to: "I apologize for the inconvenience, and would like to request more luxury pens and paper in place of the balloons and books mistakenly ordered.") Please do not worry about the payments because we will settle this carefully and if, based on our contract, this cancelled order will cost me a penalty, I will accept it with no hesitation.
